Committee's Duties
Introduction
The Zurich Comedy Club (ZCC) is run by an executive Committee composed of 8 ZCC members elected at the Annual General Meeting (AGM). The Committee is composed of a President, Secretary and Treasurer and 5 other members as described below. Committee members serve for 4 years being re-elected after 2 years.
Running the Club and Helping in Productions
The Committee exists to make sure that the day-to-day operation of the ZCC runs smoothly and efficiently. It has the final decision on which plays should be produced and facilitates their production. The administration of such a vibrant and exciting Club requires a great deal of commitment from all members, especially those actively involved in productions and in the Committee. The Committee oversees the production of all plays, communicating with the director and others (such as set designer, stage manager and lighting and sound chiefs) to ensure that everyone involved in managing the production has every resource they require. Organising a play production is understandably fraught with risks and hitches but it is the Committee's job to try to minimise all such "glitches" and to support the director in every way so that the final product is something which not only entertains the public but is also a source of pride to all ZCC members.
Financial Affairs
The next priority of the Committee is to manage the funds at the Club's disposal through membership subscriptions, ticket sales and other revenue-raising events. Most of this money is spent on production costs for the plays performed in front of the public. The ZCC has, over the years, built up a justifiable reputation for the excellence of its productions, which demand not only consistently high standards of acting from the actual players but also imaginative sets, professional lighting, often elaborate sound requirements and (when necessary) authentic period costumes. All these things cost money but, due to the Club's loyal following and great popularity amongst the native "Zürcher(-innen)" as well as the large international community, the Club is usually able to find funds to match these demands. Since the Club is an entirely voluntary organisation, no Committee member or Club officer or play participant is paid anything, so profits are either ploughed back into the Club's main activity of producing plays or given to charity.
Committee Members' Duties
The Committee undertakes a number of other tasks which are best described in terms of the duties of each member of the Committee and this now follows:
President
This officer acts not only as the head of the Committee but also as the head of the entire Club. He or she is nevertheless strictly "primus (or prima) inter pares" (first among equals). The president chairs all Committee meetings as well as the AGM and any Special General Meeting (SGM). The president has to ensure that all decisions taken in Committee or at other meetings are carried out. The president possesses all the considerable prestige of leading such an august body.
Secretary
The secretary organises Committee meetings and takes and issues minutes and agendas for all meetings (AGMs, SGMs as well as Committee meetings). He or she also maintains the list of all members and is responsible for the distribution of all the mentioned documents, as well as Club Newsletters and other information sheets of interest to all members. The role is often taken for granted but this belies its importance.
Treasurer
This very important person is responsible for the Club's finances. Any expenses incurred as a result of organising Committee and other meetings or of producing a play have to go to the Treasurer for approval and payment. The Treasurer also organises the auditing of the Club's accounts and reports to the membership on the costs and income of each production. In this capacity, he or she organises the box office for productions including the sale of tickets through approved outlets.
Membership Officer
This officer's prime responsibility is to record the active participation of the membership in regular events such as the Monday evening meetings. Where members become or remain dormant, the Membership officer seeks to ascertain whether they wish to retain membership and advises accordingly. He or she is also responsible for greeting visitors at Club events and encouraging them to join the Club, if they show a consistent interest in the Club's activities. This officer thus acts as the "public face" of the Club and thus bears the weighty responsiblity of not scaring potential members away!
Monday Programme Organiser
The organiser of the Monday evening programme has the task of ensuring that each Monday on which there is a Club meeting one of the members organises a reading. The Monday programme organiser's job also includes organising and chairing the reading panel meetings, researching new plays, ordering plays to be read by the panel to find suitable Monday evening material, monitoring feedback from Monday readings and keeping and updating lists of plays which may be production or workshop material. The job is often unsung but is vital in ensuring that one of the Club's prime activities is kept going and proves attractive to the membership and to those just visiting.
Production Co-ordinator
This important job entails that, for each production, the director (who in ZCC terms is also the producer) has appointed people for the various associated technical tasks, such as stage manager, lighting chief, sound chief, front of house organiser and other backstage roles. If the director faces problems in recruiting such volunteers, the production co-ordinator him- or herself acts to fill the gaps, often by liaising with other Committee members.
Publicity Co-ordinator
A play can be successfully produced and still be a flop without proper publicity, so this role is crucial. This officer undertakes to contact printing houses in good time to publish flyers, posters and programmes advertising the play. He or she also contacts newspapers, radio stations and other media in order to disseminate information about the Club's latest production.
Technical Advisor
As mentioned above, the Club prides itself on its prudent investment in technical infrastructure such as up-to-date lighting and sound systems. It is thus vital that these systems are constantly reviewed and cost-effective enhancements suggested. The technical advisor fills the role of informing the Committee about the state of this technical infrastructure and the ways in which it can be improved.
